CoreChange played a key role in optimizing one of its clients’ procurement and management of external workforce, in collaboration with its partner, SAP Fieldglass. The client, a global telecom provider with operations in over 170 countries, have a significant need to hire external workforce and faced complex challenges. They required efficient and unified processes to manage thousands of consultants working in different countries and on various projects. After an in-depth pre-study, the client decided to use SAP Fieldglass as their VMS platform (Vendor Management System) to enhance the management of external resources. This platform aids in finding, hiring, managing, paying, and evaluating external consultants and consulting providers. Currently, up to 20,000 consultants are being managed through the new platform, covering 90% of the total cost.
Assignment
The client recognized the need to enhance control and visibility over external resources in Asia. To achieve this objective specific project management skills were needed. The client wanted to introduce a shared tool that supports the globally decided purchasing processes to achieve the following four main objectives:
Transparency
Cost control
Increased efficiency
Compliance of internal and external policies and rules
Solution
Under the guidance of a senior project manager with extensive expertise in SAP Fieldglass, a unified system with a global process was successfully implemented in a total of 10 countries for 4000 consultants with a turnover of 800 Msek in Asia. This solution effectively replaced local processes and systems. The following objectives were achieved:
Full transparency and overview of consultants in real time throughout the region
Full visibility over purchase orders (PO) for multiple parties with an automated and integrated purchase to pay process
Cost control against set framework agreements and prices for purchases and renewals
Enhanced efficiency - one system instead of several for the management of consultants (automation of PO, invoice, time sheet, onboarding, offboarding)
Compliance - Full control over signed NDAs, correct procurement and management of external resources according to applicable laws globally and locally
